Zip Water Group Privacy Policy

1. OVERVIEW
This Privacy Policy outlines how Zip Heaters (Aust) Pty Ltd and its related entities (collectively, “Zip”, “we”, “us”, or “our”) collect, use, disclose, and manage personal information, in accordance with the requirements stipulated in the Privacy Act 1988 (Cth) (the “Act”)including the Australian Privacy Principles (“APPs”).

Zip is a global manufacturer of instant boiling, cooling and filtration water systems and related products. In conducting our operations, we collect and manage personal information from clients, employees, contractors, and other stakeholders.

2. PRIVACY OFFICER
Zip has appointed a Privacy Officer responsible for overseeing compliance with this Policy and relevant privacy obligations. You can contact the Privacy Officer using the details in Section 16.

3. COLLECTION OF PERSONAL INFORMATION
We collect personal information that is reasonably necessary for our business activities, including:

• names, contact details, job titles
• transactional and support history
• human resources and payroll data
• supplier and service provider information
• marketing preferences

This information is collected directly from individuals or from authorised third parties, including customers, employees (both actual and prospective), business partners, public sources, and marketing providers.

4. USE AND DISCLOSURE OF PERSONAL INFORMATION
We use and disclose personal information for:

• providing and managing our products and services
• customer and employee administration
• marketing communications (see Section 6)
• business operations, analytics, and compliance
• legal or safety obligations

Where permitted or required by law, we may also disclose personal information to regulatory bodies or law enforcement. If we propose to use or disclose your personal information for any other purpose, we will obtain your consent or ensure it is authorised under the Act.

5. SERVICE PROVIDERS
We engage external service providers to perform functions on our behalf (e.g. IT support, marketing, payroll, delivery). These providers may access personal information only for authorised purposes and are contractually required to handle it securely and in accordance with this Privacy Policy.

6. MARKETING COMMUNICATIONS
Zip may use personal information to contact individuals with information about our products, services, and promotions. You can opt out at any time by:

• clicking the unsubscribe link in electronic communications
• contacting our Privacy Officer (see Section 17)

We will not send marketing communications to individuals who have opted out.

7. DATA QUALITY AND SECURITY
We take reasonable steps to ensure that personal information is accurate, complete, and up to date. To maintain data security, we:

• implement secure storage and access controls
• protect digital systems with passwords and firewalls
• destroy or de-identify data when no longer required, subject to legal retention obligations

8. ACCESS AND CORRECTION
You may request access to personal information we hold about you and request corrections where needed. Requests should be made to our Privacy Officer. We will aim to respond within 14 days.

Access may be refused in limited cases where permitted by law, such as where it would unreasonably affect the privacy of others or involve commercially sensitive information.

9. IDENTIFIERS
Zip does not adopt, use or disclose government-issued identifiers (e.g. TFN, Medicare number) as our own identifiers unless required or authorised by law.

10. ANONYMITY AND PSEUDONYMITY
Where practicable, you may deal with us anonymously or using a pseudonym. However, in some situations (e.g. product orders or customer support), identification may be necessary.

11. OVERSEAS DISCLOSURE
Zip may transfer personal information to recipients (service providers or other companies within the Zip Water Group) located in countries other than Australia including the United States, the United Kingdom, Singapore etc. Before any cross-border disclosure occurs, we take reasonable steps to ensure that overseas recipients comply with privacy obligations substantially similar to those in Australia.

12. SENSITIVE INFORMATION
We only collect sensitive information (e.g. health, racial or ethnic origin, trade union membership) with your consent, or where authorised by law, or necessary to prevent or lessen a serious threat to life or health. Any proposed use or disclosure of sensitive information must be reviewed and approved by the Privacy Officer.

13. AUTOMATED DECISION-MAKING
Zip may use automated systems to assist in decision-making in certain processes (e.g. credit checks, fraud detection, recruitment screening).

Where such decisions have a legal or significant effect, you have the right to:

• request information about the logic and/or impact of the decision; or
• contest the outcome by seeking review of the decision by a Zip officer or employee.

14. ARTIFICIAL INTELLIGENCE
We may also utilise Artificial Intelligence (“AI”) enabled programs to assist us in handling your enquiries and communicating with you electronically. Whenever we do this, we will make sure that you are informed about the relevant message or result provided to you being generated by AI and not by a human.

15. LEGACY INFORMATION (COLLECTED BEFORE 21 DECEMBER 2001)
Although the Act does not apply all collection rules retrospectively, we apply the following principles to all personal information held, regardless of when it was collected:

• we ensure information is accurate and up to date if it is used
• we maintain appropriate data security
• we provide access and correction rights if the information is in use

We review this Policy periodically and may update it from time to time. Please ensure you refer to the most recent version.
